Data Controller

The data controller is GAIA GROUP SE, ID No. 24179787, with registered office at Xaveriova 1946/5, Smíchov, 150 00 Prague 5, Czech Republic, registered with the Municipal Court in Prague under file No. H 464. Contact: info@easyjukebox.eu.

What Data We Collect

During registration and use of the application, we collect the following data:

• Business name
• Email address (business)
• Password (stored in encrypted form)
• WiFi network name (required) and WiFi password (optional)
• Phone number
• Website URL
• Venue address (street, city, country) — displayed on the venue map in the guest application
• Playback records — retained for internal service statistics

Legal Basis for Processing

• Performance of a contract (Art. 6(1)(b) GDPR) — processing of registration data necessary for providing the service
• Legitimate interest (Art. 6(1)(f) GDPR) — playback records for internal statistics and service improvement
• Legitimate interest (Art. 6(1)(f) GDPR) — retention of email address after account deletion for future business communication

Cookies and Local Storage

The easyJukebox Player application uses technical cookies and local storage (browser local storage) solely to maintain login sessions and store account settings.

We do not use analytics, advertising, or any other tracking cookies. These cookies are necessary for the application to function — disabling them will prevent proper use of the application.

Payment Data

Subscription payments are processed through the Polar payment gateway (polar.sh). Payment details (card number, billing address, etc.) are submitted directly to Polar and are not stored by or accessible to easyJukebox. Payment data processing is governed by Polar's own privacy policy.

Use of Google Maps Services

The application uses the Google Maps Platform API to display the venue location on the map in the easyJukebox guest mobile application.

By using the application, you agree that your use of Google Maps features is subject to the Google Maps/Google Earth Additional Terms of Service and the Google Privacy Policy.

The venue address and location are shared with Google Maps for the purpose of map display.

Third Parties and Processors

We share your personal data only with the following processors: Polar (payment gateway — subscription payment processing) and Google (Google Maps Platform — map services).

We do not sell your personal data to or share it with any other third parties for marketing purposes.

International Data Transfers

Data is stored on servers within the European Union. Google Maps services may transfer data to the USA — Google participates in the EU–US Data Privacy Framework (DPF), which ensures an adequate level of data protection.

Data Retention

• Registration data is retained for the duration of the account. Upon account deletion, data is removed within 30 days.
• The email address is retained after account deletion for potential future business communication. You may object to this at any time by contacting info@easyjukebox.eu.
• Playback records are retained indefinitely for internal statistics — they are anonymised and no longer linked to a specific account after its deletion.

Your Rights

As a data subject, you have the following rights:

• Right of access — to obtain a copy of your personal data
• Right to rectification — to request correction of inaccurate data
• Right to erasure — to request deletion of your data (subject to legal obligations)
• Right to restriction of processing
• Right to object — particularly against processing based on legitimate interest

Security

We implement reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, or misuse. Passwords are stored in encrypted form. No data transmission over the internet can be guaranteed to be 100% secure.

We may update this privacy policy from time to time. We will notify you of significant changes by email or through an in-app notice. We recommend reviewing this policy periodically.
